Dear Pedro,
the accommodation with AAL Forum is not what we hoped for. For several
reasons, one of which is the success of AAL Forum that this year received a
large number of proposals for side events, they confirmed the EvAAL event
only for half a day and only in late July.
This was an additional problem to the organization of EvAAL this year,
because, differently than the previous years, we didnt succeed in finding
financial support to (at least) reduce the registration to the AAL Forum.
This was also due to a personal problem to one of the organizers that
managed to find funds last years.
Two years ago obtained a discount by registering the competitors with the
same rate of the students (at the time we covered all the registrations with
our funds), but the result was that they were not allowed to the dinner of
the awarding, and only with a complicate, last minute negotiation we managed
to solve the problem. Last and this year, to avoid these problems, we
disregarded the option.
Now I asked people in the EvAAL organization close to AAL Forum to negotiate
better conditions, but I really cannot guarantee anything as this thing is
out of my control.
Anyway, I admit that the matter of AAL Forum has always been source of
debate in EvAAL, and for the future I would like to have a workshop
independent from AAL Forum, possibly in the same site and dates of the
competition.
On the other hand, note that the posters that we expect the competitors to
present at the workshop are already being published in an issue of CCIS
(that should arrive soon), and we are negotiating with the JAISE journal for
a thematic issue about EvAAL 2013.
I hope this clarifies the whole picture.

Dear Stefano,
I am very surprised by your e-mail and the way the EvAAL competition is
being included in the event in Sweden.
First, there was no information about having to pay a full registration fee
(this was not the case last year), without the possibility to get the
early-bird registration rate or any kind of student rate. Now, the
presentation of the system is being "downgraded" to a poster session instead
of a full-day workshop with scientific presentations.
In the interest of keeping the level of participation in further
competitions, I would like to ask you to reconsider the possibility to (at
least) be able to get the early-bird registration fee and to organize the
workshop in such a way that, if there are posters, they are allowed to be in
a visible place throughout the conference (not just on Tuesday) and use the
time slot on Tuesday for presentations of the systems.
Looking forward to your feedback on these two requests.

As anticipated by Francesco Potortì, the workshop will be on Tuesday 24th,
at 13:30-17:00.
As the time is too short to have long presentations for each paper, we
decided to organize the workshop as a poster session. The idea is to leave a
strict slot of 3 minutes to each participant to advertise his/her work, and
leave deeper discussions among participants during the poster session. To
reduce the burden of preparation and transport of the posters, we suggest to
prepare the posters in A2 format (this is not mandatory anyway).
The program of the workshop will be:
- opening (10 minutes),
- short oral introduction to posters (strictly 3 minutes each person, up to
40 minutes in total)
- Poster session (1,5 hour)
- summary of results (20 minutes)
- open discussion (40 minutes)
- closing (10 minutes)
Finally, I kindly ask each team to send me an email with the following
information about the person that will present the work at the workshop:
- team name
- participant name
- cellular phone number (in order to solve any last minute issue in
Norrköping).

Dear EvAAL followers,
for the third year EvAAL is collaborating with the AAL Forum: the EvAAL
workshop and the EvAAL award ceremony will take place in Norrköping, Sweden,
